About this policy

This policy describes StudyOS Agent, a study assistant with chat, university services, mail, schedules, maps, and optional device tools. Available features depend on your platform, device, permissions, and assistant settings.

Data stored on your device

The app stores your student profile and preferences, chat history, assistant memory, timetable data, and model settings locally so these features work across sessions. Your profile can include your name, university username, email, degree programme, semester, and interests. University passwords and AI API keys use platform secure storage; ordinary app preferences and chat history do not use that same secure store.

Local storage does not mean all processing stays on your phone. Connected services, cloud AI, speech services, and operating-system backups can transfer data as described below.

On-device and cloud assistants

With an on-device model, model inference runs on your device. Model installation or downloads may contact the platform provider or the model URL you configure. University, mail, map, and other online tools still contact their services when used.

With a cloud assistant, the app sends your message and conversation history to the configured AI endpoint. The request also includes available profile information, assistant memory, a timetable summary, and current device context. Tool results can include mail content, academic information, tasks, deadlines, calendar or location data, depending on the tool used and permissions granted.

The app includes an OpenRouter endpoint preset. Your configured AI service and any downstream model provider process requests under their own terms. Their retention, processing locations, and model-training practices depend on the provider and account settings. Check these before sending personal information. Select “On device” in assistant settings to avoid cloud model requests.

University accounts and mail

Signing in and loading university information sends authentication information to the relevant university services. The app connects to Alma, ILIAS, Moodle, and university mail services to retrieve information you request. These services receive the necessary requests and connection information, including your IP address.

University credentials and portal sessions are used for authentication rather than included as assistant tool results. Retrieved content may be sent to your AI provider when a cloud assistant uses these tools.

Voice and device permissions

Voice input uses your device's speech-recognition service, and spoken replies use its text-to-speech service. These services may process audio or text remotely depending on the installed engine and settings; the app does not enforce offline speech recognition. Recognised text enters the assistant conversation, including cloud processing when selected.

Supported device tools use permissions for features such as location, calendar access, reminders and notifications, and camera or flashlight controls. Device context available to the assistant can also be included in cloud requests. You can revoke permissions in your device settings; affected features may then be unavailable.

Maps, campus information, and external apps

Maps load tiles from OpenStreetMap and send place searches to its Nominatim service. These services receive your IP address and requested map areas or search terms. Campus menus and talks are loaded from Studierendenwerk and Tübingen Talks services, which receive connection information. Opening a link or handing an action to another app passes the information needed for that action to the selected service.

Feedback

When feedback submission is enabled and you press “Send feedback”, your message and current app status are sent to GitHub as an issue in the StudyOS Agent repository. Issues in this public repository are publicly visible. Do not include private mail, passwords, or other sensitive information in feedback.

Retention, deletion, and backups

Saved app data remains on the device until removed through available app controls or platform storage controls. On Android, clearing the app's storage removes its local data. Device backup is enabled in the Android app, so operating-system settings may allow cloud backups or transfer to another device. Manage those copies separately in your platform's backup settings.

Deleting local data does not delete university records, provider request logs, cloud conversations retained by providers, or submitted GitHub feedback. These copies follow the receiving service's retention and deletion procedures.

Your choices and requests

You can choose an on-device assistant, avoid optional connected features, change permissions, and remove local data. Depending on applicable law, you may have rights to access, correct, erase, restrict, or obtain a copy of personal data, object to processing, withdraw consent where applicable, and complain to a data protection authority.
